This Privacy Policy explains how ExactMach (“ExactMach,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you visit exactmach.com, submit a request for quotation (“RFQ”), upload a drawing, or otherwise contact us.
1. Information we collect
Information you provide
- Your name, company, work email address, and country.
- RFQ information such as material, quantity, tolerances, finish, delivery destination, and project details.
- Drawings or technical files you choose to upload, including PDF, STEP, STP, or DWG files.
- Information contained in messages or other communications you send to us.
Information collected automatically
Our hosting and security systems may process technical information such as IP address, browser and device type, referring page, requested URL, timestamps, and security or error logs. We use this information to operate, protect, diagnose, and improve the website.
We use Burst Statistics for privacy-focused, self-hosted website analytics. In its cookieless privacy mode, Burst uses an anonymous daily identifier and does not place an analytics cookie or use a persistent device fingerprint. The resulting statistics are stored in our WordPress database rather than being sent to an external analytics provider.
2. Microsoft Clarity and analytics consent
With your permission, we use Microsoft Clarity to understand how visitors use the website. Clarity may process page views, clicks, scrolling, mouse movement, window size, performance and diagnostic events, and information needed to create heatmaps and session replays. Content entered into input fields is masked by Clarity and is not included as readable text in recordings.
Clarity is not loaded by our website until you select “Accept analytics.” If you reject analytics, Clarity is not loaded. You can change your decision at any time by selecting “Privacy choices” at the bottom of the website. When analytics consent is granted, Clarity may use first-party cookies such as _clck and _clsk, and Microsoft may use related cookies for operational and analytics purposes.
According to Microsoft’s published retention schedule, standard Clarity playback data is generally retained for 30 days, while click data, heatmap data, and labeled or favorited sessions may be retained for up to 9 months. For more information, see the Microsoft Privacy Statement.
3. How we use information
- To review drawings and RFQ requirements.
- To evaluate manufacturability, pricing, lead time, quality requirements, and delivery options.
- To respond to inquiries and communicate about a potential or existing business relationship.
- To coordinate production, inspection, finishing, packaging, and shipment when requested.
- To operate, secure, troubleshoot, and improve the website.
- To comply with applicable legal, accounting, tax, and regulatory obligations and to establish or defend legal claims.
4. Legal bases
Where applicable law requires a legal basis, we process RFQ and communication data to take steps at your request before entering into a contract, to perform a contract, for our legitimate interests in responding to business inquiries and protecting our services, to comply with legal obligations, or with your consent. We use Microsoft Clarity only after you provide analytics consent through our website.
5. How we share information
We do not sell personal information. We may share information only as reasonably necessary with:
- Suitable manufacturing, finishing, inspection, packaging, or logistics partners when needed to assess or fulfill your RFQ.
- Website hosting, security, backup, and email service providers that process information for us.
- Microsoft when you consent to Microsoft Clarity analytics.
- Professional advisers, authorities, or other parties when required by law or reasonably necessary to protect rights, safety, and the integrity of our services.
- A successor or relevant counterparty in connection with a merger, reorganization, financing, sale of assets, or similar business transaction, subject to appropriate confidentiality protections.
Technical drawings can contain confidential business information. Please upload only information that you are authorized to share. We use uploaded files for RFQ review and related project communications and share them with relevant partners only when needed for those purposes.
6. International data transfers
ExactMach operates in China and serves international customers. Your information may therefore be processed in China and in other countries where our service providers or project partners operate. Privacy laws in those locations may differ from the laws in your country. Where required, we take reasonable steps to use appropriate contractual, technical, or organizational safeguards.
7. Data retention
We retain RFQ records, communications, and uploaded files only for as long as reasonably necessary to evaluate and manage the project, maintain business and legal records, resolve disputes, and meet applicable obligations. Retention periods vary according to the status of the inquiry, the nature of the project, legal requirements, and whether an ongoing business relationship exists. We delete or anonymize information when it is no longer reasonably required. Analytics data is retained according to our operational settings and the applicable provider’s published schedule.
8. Security
We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No method of online transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your privacy rights
Depending on your location, you may have rights to request access to, correction of, deletion of, restriction of, or a copy of your personal information; to object to certain processing; or to withdraw consent. Withdrawing consent does not affect processing that was lawful before withdrawal. You may also have the right to complain to a competent data protection authority.
To make a privacy request, contact us using the contact details available in the Contact section. We may need to verify your identity and authority before completing a request. Some information may be retained where permitted or required by law.
